Admin Guide: Analytics & Reporting
Accessing Analytics
Analytics are available in the DAM backoffice section.
Super admins see a global rollup across all clients; scoped users see only their assigned client's data.
Dashboard Overview
The analytics dashboard displays summary cards with key metrics:
Total Assets: Number of assets in the library.
Total Views: Cumulative asset views across all users.
Total Downloads: Cumulative download count.
Active Users: Number of users who have interacted with the system.
Available Reports
Asset Usage: Which assets are most viewed, downloaded, and shared.
Storage Report: Storage consumption per client or overall, broken down by file type and size.
User Activity: Login frequency, uploads, downloads, and other actions per user.
Reports can be filtered by date range using from/to date pickers.
Exporting Data
Click the Export CSV button on any report to download the data as a CSV file.
Exported data respects your current filters (date range, client).
CSV exports are useful for creating custom reports, importing into spreadsheets, or sharing with stakeholders.
Activity Tracking
The DAM automatically tracks all user interactions:
Action | Description |
|---|---|
View | When a user opens an asset's detail view |
Download | When a user downloads an asset |
Upload | When a user uploads a new asset |
Edit | When a user modifies asset metadata |
Share | When a user creates a share link |
Archive | When a user archives an asset |
Activity records include: who performed the action, when, what asset was involved, and whether they were a backoffice user or portal member.
Individual asset activity can also be viewed in the asset detail's Stats/Info tab in the portal.
Tips
Use analytics to identify underutilised assets that might need better metadata or promotion.
Monitor download trends to understand which content your users need most.
Review user activity to identify power users and those who may need additional training.
Export reports regularly for management reviews or stakeholder presentations.
